Duplicate invoice detection

Stop paying the same invoice twice

SpanFin compares your invoices and flags same-vendor, same-amount invoices that arrive close together — and tells you when a credit note shows it was a legitimate reissue.

What SpanFin checks

  • Same vendor, same amount and currency within 45 days
  • Credit notes that reverse the earlier invoice are recognised, so reissues aren't false alarms
  • Same amount billed by two different vendors within 7 days
  • Higher severity when two invoices share the same reference
  • Credit notes with no earlier invoice large enough to reverse
  • Vendor name variations matched to one vendor record

How it works

  1. Step 1

    Upload invoices

Export your AP invoice register as CSV. Credit notes can be included as negative amounts.

  2. Step 2

    See duplicates

Each pair shows both invoices, the gap in days and any credit note involved.

  3. Step 3

    Act before payment

Hold the duplicate, confirm with the vendor, and keep the record for audit.

Common questions

What about invoices with different numbers?

SpanFin matches on vendor, amount, currency and timing, so retyped or renumbered duplicates are still caught.

How are credit notes handled?

Credit notes are invoices with negative amounts. When one reverses an invoice in a pair, the finding is marked as a legitimate reissue.

Can my team review together?

Yes. Team and Growth plans include shared workspaces with roles for reviewers and viewers.
