Privacy Policy

1. Who we are

SpanFin is operated by ANEES P.G, based in India. You can reach us at SUPPORT@SPANFIN.COM for any privacy question or request.

2. Data we collect

  • Account data: your name, email address and sign-in credentials.
  • Workspace data: workspace names, member invites, roles and audit events.
  • Uploaded files: the accounts-payable files (CSV) you choose to upload, and the findings we derive from them.
  • Billing data: plan, subscription status and invoices. Card details are collected and stored by our payment processor, Paddle — we never see or store your full card number.
  • Usage data: basic technical logs needed to operate and secure the service.

3. How we use your data

  • To provide the Service: parse your uploads, run controls, show findings and maintain your audit trail.
  • To keep the Service secure: uploaded files are scanned for malware before they are stored or parsed.
  • To bill you and manage your subscription.
  • To respond to support requests and, where you ask for it, to generate AI-assisted review summaries of your own findings.

We do not sell your data, and we do not use your uploaded files to train models for other customers.

4. Where your data is processed

Your data is stored and processed using our cloud hosting and database provider. Uploaded files are stored in a private storage area scoped to your workspace; originals are kept immutable as evidence. Payment processing is handled by Paddle, which acts as the merchant of record for card transactions.

5. Sharing

We share data only with the service providers needed to run SpanFin (hosting, database, payment processing, malware scanning and AI summary generation), and only for those purposes. We may disclose data if required by law.

6. Retention

We keep your account and workspace data while your account is active. You can delete vendors, findings and uploaded data from within the product. If you close your account, we delete or anonymise your data within a reasonable period, except where we must keep records for legal or tax reasons.

7. Your rights

You can request access to, correction of, or deletion of your personal data at any time by emailing SUPPORT@SPANFIN.COM. We will respond within a reasonable timeframe.

8. Changes

If we change this policy, we will update the date above and, for material changes, notify you by email or in the product.
